This Privacy Policy describes how roommate.exe ("the
Bot", "we", "us") collects, uses, and protects
information obtained through the Bot's operation in
Discord servers. We take your privacy seriously. The
Bot, however, takes nothing seriously.
1. Information We Collect
The Bot collects the minimum data required to
operate its features. Here is a precise account of
everything it sees:
1.1 Server Configuration Data

Server ID: Collected when the
Bot is added to a server. Used to store and
retrieve server-specific configuration.

Channel IDs: Collected when an
admin runs
/setup. Used to identify
the counting channel and any redzone (excluded)
channels.
This data is stored persistently in our
database for as long as the Bot remains in the
server.
1.2 User Data

User IDs: Collected for
counting game participation tracking (to enforce
the two-consecutive-number rule) and for roast
targeting in The Math Warden module. Also
collected when users interact with
/contact.

Avatar URLs: Accessed at the
time of a counting violation to generate the
FLOW BROKEN image. Not stored persistently.
1.3 Message Content

Counting channel messages:
Message content in the designated counting
channel is read to validate whether the message
is a valid sequential number. The current count
state is stored in our database. The message
text itself is not stored after validation.

General channel messages: The
Bot reads message content in greenzoned channels
solely to perform keyword matching for The IT
Dept (Placebo) feature.
These messages are never stored, logged, or
retained in any form.
Matching happens in memory and the content is
immediately discarded.

@mentions and replies: Detected
to trigger The Confidant feature. Message
content is not stored.
1.4 Voice Channel Data

Voice channel membership state:
The Bot monitors voice channel presence to
determine when a user is alone, triggering The
Squatter feature. No audio from users is ever
collected, recorded, or processed. The Bot only
observes join/leave events.
1.5 Contact Submissions

When a user submits a report or suggestion via
/contact, the submission content
and the submitting User ID are forwarded to the
developer via Discord DM. This data is not
stored in a database by the Bot itself.
2. How We Use Your Data
Data collected by the Bot is used exclusively for:

Operating and configuring the Bot's features
within your server

Maintaining counting game state and streak
records

Enforcing the counting rules (consecutive-count
tracking per user)

Generating roast images and embed content for
the Math Warden feature

Routing contact submissions to the developer
We do not use your data for advertising, profiling,
analytics beyond basic bot operation, or any purpose
not described in this Policy.
3. Data Retention
We retain different types of data for different
durations:

Server configuration (Server ID, Channel
IDs, custom roast line):
Retained for as long as the Bot remains in the
server. Deleted upon Bot removal or upon
verified developer request.

Counting game state (current count, streak
record, last user IDs):
Retained for as long as the counting channel is
configured. Can be reset by server admins via
/setup.

Message content: Not retained.
Processed in memory and immediately discarded.

Voice presence events: Not
retained. Processed in real-time and discarded.
4. Data Sharing
We do not sell, rent, or share your data with
any third parties.
Data may be disclosed only in the following limited
circumstances:

When required by applicable law, regulation, or
valid legal process

To protect the rights, safety, or property of
users or the developer
The Bot does not integrate with any third-party
analytics providers, advertising networks, or data
brokers.
5. Data Security
We implement reasonable technical and organizational
measures to protect the data we collect against
unauthorized access, alteration, disclosure, or
destruction. This includes:

Access controls limiting database access to the
Bot's runtime environment

Storing only the minimum data required for
features to function

Not logging or persisting sensitive message
content
No method of electronic transmission or storage is
100% secure. We cannot guarantee absolute security,
but we are not collecting enough data to make it
worth anyone's time to try.
6. Your Rights (GDPR and Equivalent Frameworks)
Depending on your jurisdiction, you may have the
following rights regarding your personal data:

Right of access: You may
request confirmation of whether we hold data
about you and what that data is.

Right to rectification: You may
request correction of inaccurate data we hold
about you.

Right to erasure: You may
request deletion of your personal data. For
server-level data, this is most effectively
accomplished by removing the Bot from the
server. Individual User ID references in
counting game state can be removed upon request.

You may request that we limit how we use your
data while a dispute is resolved.

may request a copy of the data we hold about you
in a structured, machine-readable format.

to the processing of your data for specific
purposes.

7. Children's Privacy
The Bot is not directed at children under the age of
13 (or the minimum age required by Discord's Terms
of Service in your jurisdiction). We do not
knowingly collect personal information from
children. Discord itself restricts accounts to users
13 and older. If you believe a minor's data has been
collected through the Bot, please contact us for
immediate deletion.
8. Data Deletion Requests
Server owners may request complete deletion of all
server data associated with their server by:

All server configuration and counting game state
will be permanently deleted within 30 days of a
verified request.
9. Third-Party Services
The Bot operates on Discord's platform and is
subject to Discord's own Privacy Policy and Terms of
Service. We are not responsible for Discord's data

The Bot uses text-to-speech (TTS) services for The
Squatter feature's voice roast lines. TTS processing
may involve brief transmission of the roast text
string to an external TTS provider. No
user-generated content or personal data is
transmitted to TTS services.
10. Changes to This Policy
We reserve the right to update this Privacy Policy
at any time. Material changes will be reflected in
the "Last Updated" date above. Continued use of the
Bot after any changes constitutes acceptance of the
revised Policy. The Bot will not notify you of
changes. It has other things going on.
